These terms and conditions apply to bookings for accommodation, canoe hire and events with Dilham Hall Retreats, operated by Bindwell Limited (company number 02475029), registered in England and Wales at Dilham Hall, Honing Road, Dilham, North Walsham, Norfolk, NR28 9PN. In these terms, "we", "us" and "our" mean Bindwell Limited, and "you" or "the guest" means the person who makes the booking.
Making a booking
- The person who makes the booking must be at least 18 years old and agrees to these terms on behalf of everyone in the party. You are responsible for making sure all members of your party are aware of and follow these terms.
- A booking is confirmed once you have received our written confirmation. We reserve the right to decline a booking, or to refuse entry to anyone who has not complied with these terms.
- Pods booked through Airbnb or Booking.com are also subject to that channel's own booking and cancellation terms.
Prices and payment
- Prices vary by season, length of stay and the dates you choose, and are shown when you select your dates.
- A deposit of 30% is taken at the time of booking, unless your booking confirmation states otherwise. If you book close to your arrival date, full payment may be required at the time of booking.
- The balance is due six weeks before your arrival date. We send email reminders, but cannot guarantee they arrive. If the balance is not paid by the due date, we may treat the booking as cancelled and keep the deposit.
- We strongly recommend you take out holiday insurance to cover cancellation, as refunds are not given in all circumstances.
Arrival and departure
- Arrivals are from 4pm and departures are by 10am, unless we agree otherwise with you.
- Minimum stays apply and vary by retreat: Broad Fen is a minimum of two nights; Tonnage Bridge is a minimum of two nights (three over peak periods and bank holidays); Canal Camping is a minimum of three nights (two off-peak). The minimum for your dates is shown when you book.
Who can stay, children and dogs
Our three retreats welcome different guests, so please book the one that suits your party:
- Broad Fen Retreats are adults only. No under-18s, and no dogs.
- Tonnage Bridge Retreats are family friendly. Children are welcome, and one dog per pod is permitted for a charge of £20 per stay.
- Canal Camping and Bell Tents are family and dog friendly. Dogs are welcome for a charge of £5 per dog per stay.
- Assistance dogs are welcome at all of our retreats where you have appropriate evidence, such as an Assistance Dogs UK identification book, even where other dogs are not permitted.
- Your accommodation must not be used to sleep more people than the number stated in your booking.
Changes and cancellations by you
We will treat a booking as cancelled if you tell us to cancel it, or if you have not arrived by 11pm on your first day without letting us know. For administrative reasons we do not make refunds of less than £50. Subject to that, and unless your booking confirmation or booking channel states otherwise:
- cancellations made at least six weeks before arrival lose the deposit and any booking fee;
- cancellations between six and three weeks before arrival lose the deposit, 50% of the balance and any booking fee;
- cancellations less than three weeks before arrival lose the full amount and any booking fee.
Changes and cancellations by us
- If we cannot honour your booking for reasons within our control, we will offer you a choice of alternative dates or a full refund.
- If we cannot honour your booking for reasons beyond our control, such as severe weather, we will offer you a choice of alternative dates or a full refund at our discretion.
Hot tubs
Most of our pods have a private wood-fired hot tub. For everyone's safety:
- use of the hot tub is at your own risk, and you are responsible for supervising everyone in your party;
- children must be supervised by an adult at all times and should never use the hot tub alone;
- do not use the hot tub while under the influence of alcohol or drugs;
- if you are pregnant or have a heart condition, high or low blood pressure or any other health concern, please seek medical advice before using the hot tub;
- no glass is allowed in or near the hot tub;
- please follow the hot tub guidance provided in your pod.
Fires, barbecues and smoking
- Campfires are allowed only in the fire pit provided, and barbecues only outside. Neither must be placed on the wooden decking.
- Please use only the wood we provide on fire pits and barbecues.
- Smoking and vaping are not permitted inside any accommodation.
Canoe, kayak and paddleboard hire
- Hire and any self-launch is at your own risk. You take part on the understanding that you and your party are responsible for your own safety on and near the water.
- Buoyancy aids are provided and must be worn at all times on the water.
- You must listen to and follow our safety briefing, and follow the rules of the Broads Authority and any local byelaws.
- Children must be supervised by a responsible adult at all times.
- We are not responsible for personal items lost or damaged on the water. Dry bags are available.
Looking after the place, and each other
- Please use the accommodation and grounds safely, follow any health and safety notices, and act on the reasonable instructions of our staff.
- Please respect other guests and keep noise to a minimum, with quiet between 11pm and 7am. Any visitors must leave by 9pm.
- You are responsible for leaving the accommodation clean and in good order. If extra cleaning is needed, or there is damage beyond fair wear and tear, we may charge for it.
- You are responsible for the safety and behaviour of your party, and for securing your own property.
- Please do not interfere with the electrical, gas, water or drainage systems, dig holes, cut trees or hedges, put anything other than waste water and toilet paper into the drains, or use drones, fireworks or Chinese lanterns.
- Please drive carefully and only on the roads, park only in the spaces provided, and use the bins and recycling points.
Ending your stay early
If you or your party seriously or persistently break these terms, we may ask you to leave. Where a problem can reasonably be put right we will give you the chance to do so. Where it cannot, no refund will be given.
Our liability
We do not exclude or limit our liability where it would be unlawful to do so, including liability for death or personal injury caused by our negligence. Otherwise, we are not responsible for loss or damage that we could not reasonably have foreseen, or that is caused by your own failure to follow these terms or reasonable safety guidance.
Complaints
If something is not right, please tell us straight away (within 24 hours) so we have the chance to put it right during your stay. We may not be able to look into a complaint raised after you have left.
Governing law
These terms are governed by the law of England and Wales, and any disputes will be subject to the courts of England and Wales.
