CCTV Policy

How and why we use CCTV across the farm and our retreats.

This policy covers the CCTV cameras operated by Bindwell Limited (company number 02475029), trading as Dilham Hall Retreats, across the farm and the surrounding Dilham Hall Retreats properties. We operate CCTV in line with the UK GDPR, the Data Protection Act 2018 and the guidance of the Information Commissioner's Office (ICO).

Why we use CCTV

The cameras are there to protect the safety and wellbeing of our guests, staff and visitors, and to protect our buildings and property. In particular, CCTV helps us to:

  • keep guests, staff and visitors safe;
  • prevent, deter and detect crime;
  • protect the buildings, grounds and equipment;
  • help the police investigate any crime that does occur.

Our lawful basis for operating CCTV is our legitimate interest in the security and safety of the site and the people on it.

Where the cameras are

  • Cameras cover the farm and the surrounding Dilham Hall Retreats properties, and are positioned to monitor those areas for security.
  • We do not place cameras inside the pods, bell tents, shower rooms or any other private areas of your accommodation.
  • Signs are displayed to let people know that CCTV is in operation.
  • The cameras record images only. They do not record conversations or any other audio.

How images are handled

  • We are the data controller for the CCTV system and there is a single system across the farm and surrounding properties.
  • Only authorised, trained staff can view, manage or release recorded images.
  • Images are used only for the security purposes set out above, and are not shared for any other reason.
  • We will not carry out surveillance beyond what is needed for those purposes.

How long we keep images

Recorded images are normally kept for around 30 days and are then automatically overwritten, unless they are needed for a specific investigation or legal matter, in which case they are kept for as long as necessary.

Sharing images

  • We will make images available to the police to help with criminal matters connected to the areas the cameras cover.
  • We are not able to release images for issues unrelated to the farm and our properties.
  • Any request to view or receive images must be made in writing.

Your rights

You have the right to ask for a copy of any CCTV footage in which you appear. This is called a subject access request. To make one, please email hello@dilhamhall.co.uk with the date, time and location so we can find the footage, along with enough detail to identify you in it. We may need to blur or remove other people who appear, to protect their privacy.

If you are unhappy with how we operate CCTV or handle your request, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

Monitoring and review

This policy is reviewed regularly. Reports of any breach will be investigated thoroughly and in line with the relevant law.
